This Privacy Policy explains what information EsolutionsLK ("we", "us", "our") collects through this website, why we collect it, how we store and protect it, and the choices you have. It applies to every page on this website and to the enquiries you send us through it.
We keep this simple on purpose: we collect only what you type into our forms, we use it only to reply to you and run the project you asked about, and we never sell it.
Who we are
EsolutionsLK is an IT and digital marketing agency based in Colombo, Sri Lanka. We build websites, web applications and mobile apps, and run digital marketing for businesses. Our contact details are in the footer of every page and in the Contact section at the end of this policy.
Information we collect
Information you give us directly. When you use the quote request form or the contact form, we receive what you choose to fill in:
- Your name
- Your email address
- Your phone number (optional)
- Your company name (optional)
- The package and add-ons you selected, and the estimate the quote builder showed you
- Your preferred timeline
- The message you write, and anything you include in it
Information collected automatically. Our hosting infrastructure keeps standard technical logs - such as IP address, browser type and the pages requested - for security and to keep the site running. We do not use these logs to identify or profile visitors.
What we do not collect. We do not run advertising trackers, social media pixels or cross-site profiling of any kind. We do not collect payment card details through this website - payments are arranged separately and invoiced directly.
How we use your information
We use the information you send us to:
- Reply to your enquiry and prepare the written estimate you asked for
- Send you one automatic confirmation email so you know your message arrived
- Discuss, plan and deliver the project you engage us for
- Keep an internal record of enquiries so follow-ups are accurate
- Meet legal or accounting obligations where they apply
We do not add you to any mailing list when you submit a form, and we do not send marketing email unless you have separately asked for it.
Legal basis
We process your information because it is necessary to take steps you have requested before entering into a contract (preparing your quote), to perform a contract with you (delivering a project), or based on our legitimate interest in responding to enquiries sent to us - balanced against your rights.
Cookies
This website does not use advertising or analytics cookies. The only cookies set are essential ones used by the administration area to keep our own staff signed in; they are not used to track visitors and are not set on public visits at all.
Where your information is stored
Form submissions are stored in our database, hosted by our database provider under industry-standard security. Notification and confirmation emails are delivered through our email provider. Files we host for the website (such as images) are stored with our storage provider. These providers act as processors on our behalf and may store data on servers outside Sri Lanka; each operates under its own published security and privacy commitments.
How long we keep it
- Enquiries that do not become projects - kept for up to 12 months so we can pick the conversation back up if you return, then deleted.
- Enquiries that become projects - kept for the duration of the engagement and for a reasonable period afterwards for records, warranty and accounting purposes.
- Email correspondence - retained in our mailbox in line with normal business record-keeping.

How we protect it
Access to enquiry data is limited to authorised staff with individual credentials. The administration area sits behind authentication, database access is protected by row-level security rules, and connections to the site are encrypted with HTTPS. No system is perfectly secure, but we take reasonable technical and organisational measures to protect what you give us.
When we share information
We share personal information only:
- With the service providers named above (database, email, storage, hosting), strictly so the website and our replies work
- If the law genuinely requires us to
- If we ever restructure the business, in which case the same protections would carry over
We never sell, rent or trade your personal information. Full stop.
Your rights
You can ask us at any time to:
- Access - tell you exactly what personal information we hold about you
- Correct - fix anything that is wrong or out of date
- Delete - erase your information from our systems
- Restrict or object - stop using your information for a particular purpose
- Export - give you a copy of what you provided, in a usable format
To exercise any of these, email us with the address you used on the form. We will respond promptly - normally within a few working days - and we will not charge you for a reasonable request.
Children
This website is aimed at businesses and is not directed at children. We do not knowingly collect information from anyone under 18. If you believe a child has sent us personal information, contact us and we will delete it.
Links to other websites
Pages on this site may link to external websites - for example a client's live project. We are not responsible for the content or privacy practices of other sites; check their policies directly.
Changes to this policy
If we change this policy, the updated version will be published on this page with a new date at the top. Meaningful changes will be flagged clearly rather than made silently.
